Privacy policy

01 · What this policy covers

This policy explains how Nexiris Global Private Limited collects, uses, stores and discloses personal data in the course of counterparty verification, trade due diligence and import–export facilitation work, and through this website. It applies to enquirers, clients, and the individuals named in the records we research.

For the purposes of the Digital Personal Data Protection Act, 2023, Nexiris Global Private Limited is the Data Fiduciary for the personal data described here, and this policy is the notice required under Section 5 of that Act.

02 · Data we collect

From you, when you make an enquiry or engage us: your name, company, work email, telephone or WhatsApp number, country, and the commercial details you provide about the transaction — commodity, volume or value, Incoterm, timeline, and any documents you attach.

From public sources, when we research a subject: filings held on MCA21, the goods and services tax record, Indian court records, and the wider body of government and public registry data available in India.

03 · Why we hold it

We process enquiry and client data to respond to you, to scope and quote work, to perform the engagement, and to meet our own accounting, tax and anti-money-laundering obligations.

Enquiry and client data is processed on your consent, given when you send us an enquiry or sign an engagement letter, and on the legitimate uses permitted by Section 7 of the Digital Personal Data Protection Act, 2023 where we must comply with a legal obligation or an order of a court or authority. You may withdraw consent at any time by writing to us; withdrawal does not affect processing already carried out, and statutory retention continues to apply.

Subject data in our verification work is personal data already made publicly available under law — corporate filings, licence registers, court and insolvency records, and sanctions lists — to which the Act does not apply by virtue of Section 3(c)(ii). We handle it under the confidentiality and accuracy standards set out below regardless.

04 · Public register research

Our verification reports are built from public registers and public filings. We do not approach the subject, its customers or its bankers, and we do not use pretexting, covert enquiry or any technique that would place the subject on notice. Every finding names the register it came from and the date it was searched.

05 · Disclosure

Enquiries and engagements are confidential. We do not disclose the identity of a client to the subject of a report, and we do not sell or rent personal data to anyone.

Data is shared only with the partners and staff working on your file, with professional advisers, inspection agencies, freight and banking counterparties where a facilitation mandate requires it, and where disclosure is required by law or a competent authority.

06 · Retention and security

Engagement records are retained for the period required by Indian statutory and professional obligations, and then deleted. Working files and correspondence are held on access-controlled systems. Where a client requires deletion earlier than our statutory retention period allows, we say so rather than agreeing to something we cannot do.

07 · Your rights

As a Data Principal under the Digital Personal Data Protection Act, 2023 you may ask for a summary of the personal data we hold about you and how it is processed, ask us to correct, complete, update or erase it where no statutory retention applies, withdraw a consent you have given, and nominate another individual to exercise these rights on your behalf in the event of death or incapacity.

Write to admin@nexirisglobal.com. We respond within thirty days. Where a request would compromise a live engagement or a legal obligation, we will explain the ground rather than ignore the request. The Act also requires us to note that you are obliged to furnish only authentic information and not to raise false or frivolous grievances.

08 · Grievance redressal

Our Grievance Officer under Section 13 of the Digital Personal Data Protection Act, 2023 is the Head of Administration, Nexiris Global Private Limited, Delhi, reachable at admin@nexirisglobal.com. Grievances are acknowledged on receipt and answered within thirty days.

If you are not satisfied with our answer, you may complain to the Data Protection Board of India. Exhausting the process above is a precondition to that complaint under the Act.

09 · Cookies

This site sets no advertising or tracking cookies. Any analytics we operate are configured without cross-site identifiers, and the site functions with cookies disabled.
